Notes and files

Notes and files keep the record history, decisions, attachments, and discussion in one place.

Notes explain the work

Fields show the current state. Notes explain what happened, what changed, who said what, and what should happen next.

Use notes for decisions, handoffs, client updates, internal context, and anything that should stay attached to the record.

What notes support

  • Replies and quoted replies
  • Images, videos, audio, PDFs, and other files, with a zoomable image viewer and video download
  • Markdown-style formatting, tables, task lists, code blocks, and headings
  • Mentions of teammates with @, records with ^^, projects with ^, hashtags with #, and AI tools with /
  • Reactions for lightweight acknowledgement
  • Several pinned notes per record for important context
  • Copy link to a note, and internal project and record links
  • Compact mode for dense threads; new comments can default to compact per project
  • Display settings for wider or more compact reading

Formatting and quick actions

Select any text in a note and a small formatting bar appears with bold, italic, strikethrough, lists, checklists, quotes, inline code, and links. It writes straight into the note’s markdown, and Cmd/Ctrl+Z undoes a formatting change like any other edit. Format as markdown cleans up a pasted note in one step.

Checklists are interactive: tap a box to tick it off and the item gets a line through it. Any note can be translated into another language in place, with a toggle back to the original; Settings → Workspace sets the target language and whether to translate automatically.

Drafts

An unfinished note waits for you. Leave a record and come back, even on another day, and the composer still holds your text. Drafts are per account.

Files and Links

Every attachment on a record is gathered in its Files section, and the expanded record view, Board, and Picrowd AI have a Files and Links browser: images, video, audio, documents, and other files, newest or oldest first, with search, plus every link grouped by website. In a record it can switch between this record and the whole project.

Files should stay near context

Attach files where the discussion happens. A file without the note that explains it is easy to misread later.

Use direct row files when the file belongs to the record as a whole. Use note attachments when the file belongs to a specific update or conversation.

Good note habits

  • Write the decision, not only the activity
  • Mention people when they need to act
  • Pin the note that explains the current state
  • Use record links instead of copying context manually
  • Delete or edit mistakes instead of leaving confusing noise
  • Report content or block a person from a note’s menu if something is wrong
