Projects
A project is the main container for one workflow, team, client, or operating stream.
What a project contains
- Rows and custom fields
- Saved views and table settings
- Collaborators, invites, record roles, and workspace access
- Record notes and files
- Calendar and Timelines built from the project’s dated fields
- Board messages
- Whiteboard boards and comments
- Picrowd AI sessions, memory, and automations
- API tokens, plugins, and import/export tools
- A recycle bin for deleted records
When to create a new project
- The workflow needs different fields
- The people who need access are different
- The work belongs to a different client, team, or department
- The views would become too noisy if everything stayed together
When to keep one project
- The same people work across the records
- The same fields and views still make sense
- The difference is status or stage, not a completely different workflow
Project settings
Edit Project opens the project settings with four areas: General (name, color, whether new comments default to compact, Save as Template, Delete), Share Privately (members, roles, invites, per-member column access, ownership transfer), Share Publicly (the public project link, admins only), and AI (whether Picrowd AI may read the project, propose writes, and whether execution needs confirmation).
The project menu
- Edit Project and Save as Template
- Mark All as Read
- Share Access and API Tokens
- Compact view for the sidebar row
- Add to Folder, Mute or Unmute
- Delete, or Leave a project someone else owns
Project sidebar
The project sidebar helps you switch work quickly. You can use folders, compact rows, unread indicators, mute noisy projects, and collapse the sidebar when you need more room for the current project. An optional setting filters the project list as you type in search.
System projects
Two projects are created for you and cannot be edited or deleted: Shared Records collects every record that was shared with you individually, and the AI Vault holds your private AI memory. They behave like projects so the same views and tools work in them.
Recycle bin
Deleted records go to the recycle bin instead of disappearing. Settings → Recycle Bin sets how long they are kept (7 to 90 days) and lets you empty the bin.
