Start your first workflow

Start with one real project, a template if it fits, a few useful fields, and records your team actually needs.

Start small

Create one project for one real workflow. Do not start by building a perfect system. Start with something your team already needs to track, then improve it as real work comes in.

Templates

New Project offers starting points so you do not begin from an empty table: Blank, Client CRM, Freelancer Roster, Project Tracker, Gym Program, and Subscription List. Each template brings its own columns and status values, which you can rename or remove afterwards.

Once a project of your own is set up the way you like, Save as Template in the project menu keeps that structure for the next one. Templates never silently enable AI write access.

First setup checklist

  • Create a project with a clear name, from a template or blank
  • Add only the fields you need for decisions, filtering, or follow-up
  • Create a few real rows
  • Open one row and add a useful note
  • Attach a file if files are part of the work
  • Set a ping on a row that needs follow-up, then look at it in Calendar
  • Create one saved view if people need a specific filtered layout
  • Invite only the people who need to work on it now

The guided tour

The first time you open Picrowd a short welcome tour walks through the main surfaces, and each workspace has its own quick tour when you first open it, including Calendar and Timelines. You can replay it any time from Settings → Workspace → Restart getting-started guide.

Use rows as work surfaces

A row is not just a line in a table. Open it, add context, mention people, attach files, and leave the next step. Picrowd becomes useful when the row contains both the structured fields and the story behind them.

Avoid early clutter

  • Do not add fields nobody will update
  • Do not create many views before anyone uses the first one
  • Do not invite outside guests before the record is clean enough to share
  • Do not enable every plugin just because it exists
