What Whiteboard is for

Whiteboard gives a project a visual workspace. Use it for planning, mapping relationships, reviewing files, arranging ideas, creating client review areas, or connecting records and projects visually. It is hidden in new projects until you turn it on in Manage workspaces.

Current Whiteboard elements

• Sticky notes for quick text notes
• Rich text blocks for formatted text
• Stickers and emoji-style markers
• Shapes, including rectangles, circles, triangles, diamonds, pentagons, hexagons, stars, and shape arrows
• Frames for grouping and sharing areas of the canvas
• Arrows and smart connectors for relationships between items
• Visual tables for simple grid layouts on the canvas
• Images, with an image editor
• Files, including video, audio, PDF, GIF, and downloaded media file cards
• Voice memos recorded on the canvas
• Record cards linked to Picrowd rows
• Project cards linked to Picrowd projects
• Groups for keeping related canvas items together
• Links and link preview cards with live embeds
• Comment pins with threaded messages, reactions, read state, and translation support

Canonical element types

Internally, current Whiteboard items use these element types: sticky, enriched_text, sticker, shape, frame, comment, table, arrow, connector, image, file, record, project, group, and link.

Older plain text items are treated as rich text. Media-specific items such as video, audio, PDF, GIF, and downloaded images are stored as image or file items depending on the media.

Arranging

• Smart sort and auto-arrange tidy a selection into a grid
• Straighten aligns selected items
• Hold Shift while dragging to snap to guides, and while rotating to snap to 15° steps
• Download selected items as a ZIP with their files

Frames and area shares

Frames help organize a section of the canvas. A frame can also become an area share, which exposes only that area and the items inside it, as a public link or as a private link posted to selected records.

Area shares are useful when a client, teammate, or reviewer needs a focused part of the Whiteboard instead of the whole project canvas.

Comments on the canvas

Whiteboard comments are pins with threaded messages. Use them for review notes, feedback, questions, and decisions tied to a visual point on the canvas.

Multiple boards and touch devices

A project can hold several Whiteboard boards, so you can keep separate canvases, one per client, phase, or idea, instead of crowding everything together.

On phones and iPads the Whiteboard switches to a compact, touch-first layout with larger controls, and it is tuned so large boards stay stable instead of running out of graphics memory.

Good Whiteboard habits

• Use frames to keep sections readable
• Use connectors when relationships matter
• Use comments for review feedback instead of loose text when a reply is expected
• Keep shared areas clean before sending them outside the team
• Use record and project cards when the canvas needs real workspace context
