Getting started

The fastest way to understand Picrowd, set up a useful workspace, and use it on every device.

  • What Picrowd is: Picrowd is a flexible workspace for records, notes, files, collaboration, planning, and follow-up.
  • Start your first workflow: Start with one real project, a template if it fits, a few useful fields, and records your team actually needs.
  • Picrowd on mobile: Picrowd works on your phone and tablet: a full-screen Projects home, a bottom tab bar for workspaces, record cards, Calendar and Timelines, Board, and a touch-tuned Whiteboard.
  • Desktop app and Apple services: The desktop app for Mac and Windows adds menu shortcuts, a system-wide Summon key, and docs that open in a window. On a Mac, the Apple Services helper lets Picrowd AI use your local Apple apps.
  • Multiple accounts: Keep a personal and a studio account signed in together, switch from the account menu, and let each browser tab or desktop window use its own account.
  • Glossary: Common Picrowd terms in plain language.

Records and views

Projects, rows, fields, saved views, pings, search, and moving data in and out.

  • Projects: A project is the main container for one workflow, team, client, or operating stream.
  • Rows: Rows are flexible records. They can represent people, companies, tasks, assets, candidates, or requests.
  • Custom fields: Custom fields define the structure of a project and control what each row tracks.
  • Saved views: Views save useful ways of looking at the same records without duplicating the project. They are shared presets; each person chooses which one is active.
  • Pings, unread, and follow-up: Pings are reminders on a row. A cell can hold several, each with a time, a length, a name, and optional AI commands, and they all show up in Calendar and Timelines.
  • Search and keyboard flow: Search, filters, and shortcuts help users move through large projects without losing context.
  • Imports and exports: Import from CSV or JSON with column mapping, export a flat table or a full backup, and move Whiteboard content as JSON or ZIP.

Workspaces

Table, Cards, Calendar, Timelines, Board, Whiteboard, and Picrowd AI inside a project, plus settings and shortcuts.

  • Workspaces: A project has seven workspaces on the same records: Table, Cards, Calendar, Timelines, Board, Whiteboard, and Picrowd AI. Show, hide, reorder, and lock them per project.
  • Table and Cards: Table is for dense record work. Cards are for visual stage-based work with the same underlying rows.
  • Calendar: Calendar shows selected dated fields of a project by day, week, month, or year. Create pings by clicking a slot, drag editable pings to reschedule, and choose how events are colored.
  • Timelines: Timelines shows one row per record with its selected dated events, including pings, as bars on a scrollable time axis. Scale it, choose the label column, group rows, and drag editable pings to reschedule.
  • Notes and files: Notes and files keep the record history, decisions, attachments, and discussion in one place.
  • Board: Board is the project-level conversation space for updates that are bigger than one record.
  • Whiteboard: Whiteboard is a visual canvas for planning, review, mapping, and connecting project context.
  • Picrowd AI: Picrowd AI summarizes, answers questions, and reasons over the project context you can access. When allowed, it proposes changes, runs on a schedule, uses tools, and remembers.
  • Settings and appearance: Every section of Settings: account and plan, workspace defaults, themes and presets, Table, Cards, Board, AI, MCP, pings, notifications, the recycle bin, and the desktop app.
  • Keyboard shortcuts: Every keyboard shortcut in Picrowd, grouped by workspace: Table, Cards, Calendar and Timelines, Whiteboard, notes, Picrowd AI, the image editor, and the desktop app.

Sharing and access

Collaborators, record roles, shared records, public records, public project links, and area shares.

  • Collaborators and guests: Picrowd separates project collaborators from narrower guests, and lets a single record override the project role, so access stays intentional.
  • Shared records: Shared records let users collaborate around one row without opening the whole project.
  • Public records: Public records expose one selected record through a public-facing page with controlled permissions.
  • Public project links: Share a whole project through one link, exactly as you arranged it: choose the workspaces, the visible columns, whether visitors can post or create records, and how fast.

Automation & integrations

Intake forms, plugins, AI automations, tools, memory, alerts, project tokens, and agent connections.

  • Intake forms: An intake form turns a public link into new rows. Share it, embed it, or print its QR code, and every submission lands in your project as a record.
  • Plugins & the marketplace: Plugins add optional capabilities per project: alerts, digests, intake forms, invoices, storage sync, and cleanup, so nothing clutters projects that do not need it.
  • AI automations & scheduling: Give Picrowd AI a standing instruction and a trigger, and it runs on its own: on a schedule, as a heartbeat, when a ping comes due, or when a checklist completes.
  • AI tools & connectors: Picrowd AI can read the web for free. With your own accounts it can search the web, use your mail, documents, calendars, task apps, and media generators, and reach the Apple apps on your Mac.
  • AI memory and the AI Vault: Picrowd AI keeps durable facts in a private memory you can read, edit, and prune. The AI Vault is the system project where it lives.
  • Alerts & notifications: Stay on top of what changes: mentions, follow-up pings, record alerts, AI nudges, device notifications, and pushes to email, Slack, Discord, or Telegram.
  • Project tokens and API: Project tokens let external tools work inside one project with scoped rights, including an optional, tightly scoped AI write allowance.
  • MCP and agent connections: Connect Claude, Codex, and other MCP clients to selected projects or your whole account. Agents can manage projects, sharing, ordering, records and workspaces within your current permissions and plan.
